PLEASE NOTE: As long as you are registered for this RFP, you will continue to receive these notices. We have received the following request for information and hereby respond:
(1) I was preparing the cost proposal and there is not a place for the two-month additional work. Is it provided by hard copy?
Agency Response: Please refer to Addendum #6. An additional pricing line item has been added.
(2) Please describe the work to be done during the two-month absence of the accountant, type of work, what day of the week it is preformed, which software will be utilized, etc.?
Agency Response: The duties include Accounts Payable, payroll, posting non-tenant deposits (minimal), bank reconciliations, VMS submission, preparing income statements for the monthly board meetings for the HCV Program and Business Activities. Monday through Thursday is preferable to complete the work. Our normal working hours are Monday through Friday 8:00 AM to 4:30 PM CST. All three software systems will be utilized. Yardi Beacon is used for Business Activities, Yardi Voyager for the HCV Program, Quickbooks for our non-profit entity and Paychex (a web-based software system) for payroll. All payroll flows through Business Activities.
(3) When does the Board meet each month?
Agency Response: The Board meets on the second Tuesday of every month at 4:00 PM CST.
(4) What is MCHA’s annual budget for the required services?
Agency Response: We are not disclosing the budgeted amount for this contract.
(5) During the absence of the financial specialist, is all of the work required to be done on-site or will there be some off-site work?
Agency response: Some of the work may be completed off-site. However, one day a week on-site will still be required as the Accounts Payable weekly check run must be completed on-site.
